Direct Observation Policy

This policy outlines the necessary requirements for the observation of residents conducting patient care activities during family medicine training blocks.
  • Each resident must have 4 or more documented direct observations per 4 weeks of family medicine block time (this excludes elective family medicine rotations)
    • This totals to at least 32 documented direct observations over the 2 years of residency, or 16 per year
  • Each resident must have at least 2 electronically recorded and documented direct observations over the 2 years of residency, or at least 1 per year.
    • These recorded and documented direct observations can be counted towards the total number of documented direct observations in # 1
    • Only the documentation of these electronically recorded direct observations will be retained. The electronic recording of a resident-patient encounter will be promptly destroyed after a resident has received feedback from the evaluator of the encounter.
  • Each direct observation must be:
    • Documented in hard copy or electronically using an accepted evaluation form(s) by the Postgraduate Education Committee
    • Signed by the resident and evaluator
  • Any documentation of direct observations (if not recorded electronically) will be retained at the resident’s primary family medical centre where he/she trains until the resident successfully completes residency training or is discharged from the program.
A tally of the total number of direct observations completed for each resident will be submitted via the One45 electronic evaluation system at the 1-month and 4-month formal resident evaluation during each year’s family medicine block rotation.
